Purpose

This brief is the umbrella operating document for building long-running, multi-topic software systems from idea to production and ongoing maintenance.

It is broader than a single implementation guide. It defines the structure for the whole delivery system: what gets built, how it is governed, what tools are used, how AI fits in, how tests and releases work, and how the project stays observable over time.

Core Premise

The system is not one big build.

It is a sequence of controlled phases that loop:

  • idea and problem framing,
  • discovery and analysis,
  • architecture and design,
  • MVP build,
  • hardening and scaling,
  • production rollout,
  • maintenance and evolution.

What This Brief Must Cover

The brief should answer:

  • what is being built,
  • why it matters,
  • which modules exist,
  • what the release strategy is,
  • how AI is allowed to help,
  • how quality is protected,
  • how integrations and webhooks behave,
  • how monitoring and reporting are generated,
  • what is in scope and out of scope.

Recommended Phase Model

0. Idea

Define the business problem and the value hypothesis.

1. Discovery

Map requirements, user paths, risks, dependencies and non-goals.

2. Architecture

Define module boundaries, data model, interfaces, security assumptions and runtime shape.

3. MVP

Build the smallest useful version that can be validated in reality.

4. Beta

Stabilize the MVP, add observability and automation, and validate the workflow in a limited pilot.

5. Production

Roll out in stages with rollback, monitoring and support.

6. Maintenance

Track feedback, incidents, technical debt and next modules.

System Architecture Expectations

A mature system should have:

  • frontend,
  • backend,
  • storage,
  • auth,
  • integrations,
  • observability,
  • CI/CD,
  • documentation,
  • automation workflows,
  • reusable modules.

The architecture should stay modular so separate teams or agents can work independently without losing the big picture.

Tooling Strategy

The brief supports a predictable role split:

  • Perplexity for research and synthesis,
  • Claude Code for reasoning and core design,
  • Codex for implementation support and web surfaces,
  • GitHub for source control and reviews,
  • Notion for project memory and decision tracking,
  • n8n for automation and workflow orchestration.

AI Rules

AI is useful, but not sovereign.

Rules:

  • AI can draft, summarize, propose and accelerate.
  • Humans must still validate architectural decisions.
  • AI output must not be treated as production truth without review.
  • Prompt contracts and response templates should be standardized.

Delivery Rules

Delivery should be modular and traceable:

  • every module has a backlog,
  • every module has acceptance criteria,
  • every module has a definition of done,
  • every module has a release path,
  • every module has a maintenance path.

Testing and Quality

The brief should require:

  • unit tests,
  • integration tests,
  • system / E2E tests where needed,
  • acceptance checks,
  • security checks,
  • performance checks for risky flows,
  • rollback-ready releases.

Automation and Webhooks

Automation should not become a hidden, unmaintainable second backend.

Rules:

  • keep workflow boundaries explicit,
  • validate payloads early,
  • separate triggers from processing,
  • version workflows,
  • define retry and error paths,
  • keep secrets protected,
  • keep webhook handling observable.

Reporting and Monitoring

The project should generate reports from real events and telemetry, not manual status rewriting.

Useful reports:

  • iteration report,
  • release report,
  • operational report,
  • risk report,
  • backlog health snapshot,
  • performance / reliability snapshot.

Governance

The brief must keep the project aligned by maintaining:

  • scope,
  • priorities,
  • risks,
  • decision log,
  • handoff state,
  • maintenance assumptions,
  • future expansion space.

Planner Connection

This brief should be reflected in ../RSYSTEM-planner.html because it is part of the operating system for the whole RSYSTEM workspace.

The planner should surface:

  • the main phases,
  • the active standard,
  • the current operating model,
  • the current queue state,
  • the next actionable step.

Next Actions

  • Link this brief from the standards index.
  • Compare it with the UI/UX and information architecture documents.
  • Use it as the umbrella standard for future system blueprints.
